Logistical Requirements
All other logistical requirements normally associated with running an event will be take care of, namely:

- Manage venue requirements

  • Schedule meeting rooms to accommodate sessions and specific room set-ups
  • Schedule rooms for receptions, banquets or other catered activities and select menus
  • Act as a liaison between event officials and venue personnel
  • Prepare detailed event schedule and confirm all logistical arrangements with the venue representative
  • Review and confirm accuracy of venue invoice following the event

- Coordinate social programs

  • Plan banquets, cocktail parties, site visits and other social events
  • Research and recommend venues for off-site events
  • Design program and recommend performance items for program
  • Arrange tours and coordinate and accompanying visitor/spousal program
  • Order and prepare tourist materials, maps and local information for on-site distribution


- Determine audio visual and simultaneous interpretation requirements

  • Track AV requirements for venue and individual presenters
  • Determine on-site administrative requirements for secretariat – laptops, internet access, first aid station, etc
