Logistical
Requirements
All other logistical requirements
normally associated with running an event will be take care of,
namely:
- Manage venue requirements

Schedule meeting rooms to accommodate sessions and specific room
set-ups

Schedule rooms for receptions, banquets or other catered activities
and select menus

Act as a liaison between event officials and venue personnel

Prepare detailed event schedule and confirm all logistical arrangements
with the venue representative
- Review
and confirm accuracy of venue invoice following the event

Coordinate social programs
- Plan
banquets, cocktail parties, site visits and other social events
- Research
and recommend venues for off-site events
- Design
program and recommend performance items for program
- Arrange
tours and coordinate and accompanying visitor/spousal program
- Order
and prepare tourist materials, maps and local information for
on-site distribution
- Determine audio visual and simultaneous interpretation requirements

Track AV requirements for venue and individual presenters

Determine on-site administrative requirements for secretariat
– laptops, internet access, first aid station, etc
